Prepare a template
Create a Word document with the content your firm reuses, then add supported merge-field placeholders where case or client information should appear. Keep the source file versioned outside VisaFlo as well, especially for retainers and regulated forms. Common placeholders include client and company details, the current date, and the case type. Use the field picker in VisaFlo when available so the placeholder name matches a supported value.Add it to VisaFlo
Open Settings and select Letters & Agreements. Choose Add a Template, give it a clear name, upload the Word file, and assign it to the relevant case type when your workflow uses one. Open the preview and map any fields that need staff input at generation time.
Generate a case document
From the case’s agreements and letters area, select the template and review the values VisaFlo will insert. Complete required fields, generate the document, then open the result before sending, sharing, or requesting a signature.Quality checks
- Use descriptive template names and keep one approved version for each document type.
- Test a newly edited template with a non-production case before using it with a client.
- Check dates, fee fields, names, and manual variables in every generated agreement.
- Start the e-signature flow only after the generated document is correct.
