Invite the right person

Open Settings > Members, choose the invite action, enter the team member’s email address, and select the appropriate role or access level before sending. Do not share one staff login across a team; individual access makes assignment, activity, and future access changes easier to manage.

Set access deliberately

Before you invite a member, decide which parts of the workflow they need to handle:
  • Intake staff may need leads, clients, and assigned follow-up tasks.
  • Case staff may need active cases, questionnaires, files, drafts, and reminders.
  • Billing staff may need invoice and subscription access.
  • Administrators may need workspace settings, integrations, templates, and membership management.
Give the minimum access required for the role, then review it when a person’s responsibilities change. Do not assume that an assignee should automatically have access to unrelated billing, administration, or other clients’ work.

After the invitation

Ask the new member to verify their profile, sender signature if they communicate with clients, and the first case or task they will own. Use a small onboarding case to confirm they can see the intended workflow before assigning time-sensitive work.

Manage membership changes

Review active members periodically. Remove or update access promptly when someone changes role or leaves the firm. Before removing a member, reassign their active cases, tasks, reminders, and client follow-ups so work does not become ownerless.
