Overview

Document Shares let your firm send selected case files or folders to an external recipient without giving them dashboard access. Recipients open a secure share link, verify the email address the share was sent to, preview or download files, and optionally leave file-specific comments. Use this when you need a client, reviewer, co-counsel, or partner to review case documents.

Before you start

  • Upload the files to the case file manager.
  • Confirm the recipient email addresses.
  • Decide whether each recipient should be a Viewer or Reviewer.
  • Decide when the link should expire.

Create a share

  1. Open the case file manager.
  2. Select the files or folders you want to share.
  3. Click Share files.
  4. Add one or more recipient emails.
  5. Choose a role for each recipient:
    • Viewer can access shared files.
    • Reviewer can access shared files and leave comments.
  6. Choose an expiry: 7 days, 30 days, 90 days, or no expiry.
  7. Optionally add a message for the recipients.
  8. Create the share.
VisaFlo sends invite emails to the recipients and records the share under the case.

Recipient experience

The recipient opens the share link and enters the email address the share was sent to. This prevents another person from opening the link with a different email address. Secure document share link asking the recipient to verify the invited email address. After access is confirmed, the recipient can:
  • Select files from the file list.
  • Preview supported files inline.
  • Download shared files.
  • Read comments on each file.
  • Add comments if their role is Reviewer.
If the share was sent from a firm with verified white-label branding, the share page can show the firm’s identity so recipients know who sent the documents.

Manage existing shares

From the case, use the shared links panel to review active shares and recipient activity. Depending on the share state, you can:
  • Revoke a full share.
  • Revoke a specific recipient.
  • Add a new recipient.
  • Resend invite emails.
  • Extend an expiry date.
  • Re-share an expired or revoked share.
  • Mark comments as read after reviewing them.

Security notes

Only the files included in the share are visible to recipients. A recipient does not receive access to the full case or dashboard. The share can expire or be revoked. If a recipient reports that a link no longer works, check whether the share expired, was revoked, or was opened with the wrong email address.

Troubleshooting

If the recipient cannot open the link, confirm they entered the same email address that was invited. If the recipient can view files but cannot comment, confirm their role is Reviewer, not Viewer. If the preview does not load, ask the recipient to download the file. Some file types may not support inline preview. If a recipient needs more time, extend the share expiry or create a new share.
