Trust accounting built for immigration practitioners

VisaFlo now includes a trust accounting workspace: a client trust ledger, month-end reconciliation, compliance forms, and a QuickBooks Online connection. CICC firms can elect their model, record deposits, and make disbursements with the authority and evidence their regulator expects, including cheque withdrawals with signer and cancelled-cheque records. A rebuilt consultation booking workflow

Consultation booking gained customizable lifecycle emails, per-duration slot grids, and instant-save event types. You can also decide what happens to a lead when a booking matches an existing record, so a new consultation updates the right lead instead of creating a duplicate.

AI meeting notes for consultations

Video consultations can produce automatic transcripts and summaries. You can set the name the notetaker uses when it joins, and the notes are retained even if a recording provider drops a notification.

Merge duplicate leads

When the same person arrives twice, you can merge the duplicate records into one and keep the history from both. Related records stay connected as a lead becomes a client.

Case progress at a glance

The Cases table now has a Progress column, with a per-form breakdown on hover, so you can see how far along a case is without opening it. A case type filter makes long case lists easier to narrow.

Two-factor authentication

Team members can secure their account with an authenticator app. My Account is now split into Profile and Authentication sections. Invite a member.

New form coverage and questionnaire detail

VisaFlo added IMM 5546 and IMM 0149 preparation, plus French versions of IMM 5009, IMM 5532, CIT 0001, and CIT 0002. Questionnaires collect the supporting detail these forms need and only ask for it when the answers call for it.

VisaFlo Autofill Extension is available from the Chrome Web Store

Install VisaFlo Autofill Extension directly from the Chrome Web Store. Chrome manages updates, so firms no longer need a downloaded package or a Developer mode setup. Read the installation guide.

New Citizenship Certificate and BC PNP intake coverage

VisaFlo added a Citizenship Certificate questionnaire and expanded BC PNP intake coverage, including stream-specific questions and document-upload sections. These updates help teams collect the right information before preparing a case.

Google Calendar events appear in VisaFlo Calendar

Connected Google Calendar events can now appear in VisaFlo’s Calendar view, giving teams a more complete view of appointments, deadlines, and scheduled work. Learn about Calendar.

Customize questionnaire field guidance

Teams can edit a field description when their firm needs clearer, more specific client instructions, and reset it to the VisaFlo default when needed.

More complete file and contact workflows

Teams can download selected files or folders together as an archive, and can copy a complete case file set to a connected cloud drive. Lead and client profiles can also store alternate email addresses so related communication is easier to find in one record.

More control over client-facing automation

Firms can choose whether clients see AI Scanner in questionnaires. Eligible PR-supported open work permit workflows can now collect the information needed to prepare IMM 5669 (Schedule A).

More control over Rep PR Portal form PDFs

Generating the Rep PR Portal form PDFs is now an opt-in setting. Firms that do not need them get faster autofill runs, and icons distinguish web portal steps from PDF output. Read the Rep PR Portal guide.

Regulatory alerts filtered by jurisdiction

The regulatory alert feed can be filtered to the provinces and programs your firm works in, with load-more paging for longer histories.

  • Navigation was restructured, and Billing is now Invoices.
  • Express Entry PR questionnaires validate names and cities against IRCC portal rules before you submit, and match GCKey naming conventions.
  • Questionnaires flag field warnings for the right audience and list them in the submit dialog, so problems surface before a client finishes.
  • Date-only answers no longer display a day early.
  • Autofill settings report save failures instead of showing a false “Saved”.
  • Invoice reminder settings work on staged invoices that have no whole-invoice due date, and a manual payment now voids the matching payment link.
  • Signature dates use your local date when forms are prepared.
  • The lead chatbot links bare URLs in its replies and uses a compact launcher for returning visitors.
  • Case import now surfaces loading failures instead of leaving an empty selection state.
  • Questionnaire navigation better respects sections that a firm has intentionally hidden.
  • Browser tabs use more useful record names, which makes work across several cases easier to follow.
